FFA Service RFQ Checklist for Ships: What to Send Before a Quote

A well-prepared enquiry for FFA services in India allows the service team to understand what is onboard before the vessel reaches port. This is especially important when the requirement includes several systems such as portable extinguishers, fixed CO2, foam, dry powder or breathing apparatus.

Create a System-by-System Equipment List

Separate portable extinguishers, wheeled extinguishers and fixed systems. For each item or system, provide quantity, make/model where available and the required service scope.

Describe Known Defects

If equipment has failed inspection, lost pressure, damaged seals, valve issues or other reported defects, include those observations. The service provider may need to arrange spares or workshop work before attendance.

Share Previous Service and Certificate Information

Existing certificates and prior service reports help the commercial team understand the service history and the documentation expected after completion.

Confirm Vessel and Port Timings

FFA work is often tied to a limited port call. Send vessel name, port, ETA/ETD and any survey attendance or sailing deadline so the quotation can be prepared against a realistic service window.

Keep One Main FFA Landing Page

The existing Fire-Fighting Appliances page should remain the primary commercial landing page for the FFA keyword family. Supporting articles like this one answer procurement intent and link back to that page instead of competing with it.

Break a Vessel FFA List into Systems

Do not combine every fire-safety item under one quantity. Separate portable extinguishers, fixed CO₂, foam, dry-powder, breathing apparatus and detection/alarm requirements. This helps the service provider assign the correct technician, equipment and documentation.

Known Defects Should Be Written Into the RFQ

If a release mechanism is faulty, a valve is leaking or a component is missing, state it. A routine-service quote is not the same as a repair quote. Early disclosure makes spare planning and vessel scheduling more realistic.

FFA Service FAQs

Can fixed CO₂ and portable extinguishers be serviced under one PO?

Commercially yes, but the technical scope should be listed separately for each system/equipment group.

Why include the last certificate?

It can help identify quantities, system details and previous work and reduces ambiguity in the new RFQ.

Separate Portable Equipment from Fixed-System Work

A single vessel requisition can contain both, but the quotation should not blur them together. Portable extinguishers can often be listed by type/capacity and quantity, while a fixed CO2, foam or dry-powder system normally needs system drawings, maker details, cylinder/tank information and the previous service record. Keeping these scopes separate makes the commercial comparison much clearer.

Safety note: work on fixed fire-extinguishing systems can create serious hazards. Applicable isolation, maker and shipboard procedures should be followed by competent personnel.

Technical context: safety and servicing requirements can vary by equipment, maker, vessel, flag, class and current regulation. Verify the requirement that applies to the specific job before acting on a general article.
