Customer Requirements and Technical Scope

Quality starts before the technician attends the vessel. The sales/service team must understand what the buyer is actually asking for. No. ISO 9001 is a quality-management certification. Technical service approvals must be checked separately.

Quality at the Enquiry Stage

Many service problems begin before a technician touches the equipment. If a quotation is based on the wrong model, the wrong approval or an unrealistic port window, the job is already at risk. DiptiFire’s revised enquiry process asks for positive identification, previous records and the vessel schedule so technical and commercial assumptions are visible early.

Quality During Service and Repair

Safety equipment should be handled using the applicable controlled procedure and suitable tools/test equipment. Where a manufacturer specifies particular replacement parts, settings or inspection methods, those requirements should be respected. A technician should record unexpected defects rather than silently expanding the work beyond the agreed scope.

If extra work is necessary, the vessel or authorised customer representative should understand what was found, the safety implication and the commercial impact before additional chargeable work proceeds, except where an immediate safety situation requires another controlled response.

Documentation and Traceability

A certificate is useful only if it can be traced to the equipment and work. Records should contain enough information to identify the serviced item or system and the date/scope of the work. Where serial numbers or equipment tags are used, they should be captured consistently. For multi-item vessel jobs, a clear annexure can be more reliable than an ambiguous single-line certificate.

Competence and Training

Quality systems depend on people. Training should reflect the equipment and task being performed, and competency should be maintained as products and requirements change. Technical information should be reviewed by a competent person when the subject or risk warrants it, and reviewer attribution should only be used when a real review has taken place.

Customer Feedback and Corrective Action

Complaints, documentation queries and repeat defects are useful quality data. A mature process should record meaningful issues, identify the cause, correct the immediate problem and reduce the chance of recurrence. That can involve a procedure change, better RFQ information, improved stock control or additional training.

Control of Current Information

Technical and commercial information can become outdated even when the underlying page remains accessible. Current information is therefore part of quality control: obsolete tariff figures should not be treated as live prices, historical approval claims should be checked against current certificates, and unsupported ratings or claims should not be published as evidence.

The correct goal is efficient preparation: obtain equipment information early, prepare the right spares/tools, plan workshop movement and communicate the likely turnaround before the vessel arrives. That is how a quality system supports speed without compromising the job.

Quality Responsibility Does Not End at Dispatch

For supplied safety equipment, the commercial process should leave the customer with enough information to identify, install or place the item in service correctly as applicable. If a product is rejected because the wrong approval or accessory was supplied, that is a quality failure even if the product itself is undamaged. Product selection, documentation and delivery accuracy are therefore part of the same quality system as workshop servicing.

Quality Records Should Be Retrievable

Service and supply records are most valuable when they can be found later. Job references, vessel names, equipment identification, dates and certificate information should be recorded consistently so a repeat enquiry does not have to start from zero. Good record control also supports internal review when a customer raises a technical question after completion.
