For a marine safety quotation, the quality of the first enquiry affects the speed and accuracy of the reply. Use this page for B2B equipment supply, LSA, FFA, SCBA, life raft and vessel-service requirements.

Include these six items if possible: vessel/IMO, port, ETA/ETD, equipment and quantity, requested scope, and the required class/flag/maker approval. Add photographs or previous certificates when the exact model is unclear.

    Yes. For multi-item vessel requirements, a structured attachment is preferable to retyping the list into a short web form.

    What if I do not know the model?

    Send clear photos of the equipment and nameplate, plus any previous service certificate.

    Can I ask about class approval before placing an order?

    Yes. Include the required class/flag in the enquiry and ask for the relevant current certificate scope.

    Choose the Right Route for Your Enquiry

    New equipment supply

    Send the item description, specification, quantity, required approval, delivery port and date. If you are replacing existing equipment, attach a photograph or maker/part-number detail.

    Routine service

    Send the previous certificate where available, the equipment list and the requested attendance window. State whether the equipment can be landed to a workshop or must remain onboard.

    Known defect or urgent repair

    Describe the symptom rather than only saying “not working”. Photographs, alarm/fault information and previous repair history can help the team decide what spares or test equipment may be needed.

    Survey or deficiency rectification

    Attach the relevant survey/deficiency wording where you are permitted to do so. It helps ensure the quotation addresses the actual finding instead of a general service.

    For Port Calls Outside Mumbai

    Requirements for JNPT/Nhava Sheva, Kandla, Mundra, Hazira, Sikka, Dahej, Goa, Mangalore, Visakhapatnam, Kakinada, Haldia, Paradip and other Indian locations can be reviewed. Attendance is not automatically guaranteed by the location list. The team will consider travel/logistics, equipment, workshop needs, approval scope and the vessel’s time window.

    If the vessel is already alongside, mark the enquiry as time-sensitive and include ETD. If the vessel has not yet arrived, sending the requirement early gives more time to identify maker-specific parts or service-station constraints.

    Commercial Information and Privacy

    Do not send passwords, personal identity documents or information that is not needed for the service enquiry. For vessel and procurement work, equipment lists, certificates and technical photographs are usually sufficient. If your company has confidentiality requirements, tell the commercial team before sharing restricted technical documents.

    Contact details submitted through the website should be used for responding to the enquiry and related business communication. For a large attachment or formal tender, email is usually more practical than a browser form.

    What Happens After You Send an RFQ?

    The team may ask for clarification before issuing a price. That is normal for safety-critical work. A question about maker, serial number, approval or port schedule usually means the quotation is being matched to the actual job. Once the scope is understood, the commercial response should identify the equipment/service, key assumptions, documentation and any condition-dependent items.

    A clear subject line makes it easier to identify urgent vessel work and route the enquiry. Avoid subjects such as “quotation”, “urgent” or “requirement” without the equipment or vessel name.

    When to Follow Up

    If the requirement is urgent and tied to a sailing deadline, phone after sending the technical details so the team can confirm that the enquiry has been received. For routine procurement, allow enough time for the technical and commercial details to be checked. Repeated follow-ups without the missing maker, certificate or specification information will not make an accurate quote possible.

    If the service provider asks a question that you cannot answer, send the best available photograph or connect the vessel’s technical contact. It is better to resolve uncertainty before attendance than after equipment has been landed.

    Before You Submit: A 60-Second Check

    Check that the vessel name is correct, the port is stated, dates are in a clear format, quantities are visible, and photographs are readable. If the request is based on a class or survey comment, make sure the relevant wording is included. If your company needs a quotation in a specific format or currency, mention that as well.

    For multiple vessels, use separate sheets or clear vessel headings. This keeps equipment histories and service certificates from being mixed between ships.

    For Annual Contracts and Fleet Enquiries

    If the enquiry covers several vessels or a yearly service programme, include the fleet list, expected ports, equipment categories, preferred service windows and vendor-document requirements. An annual contract cannot be priced accurately from a single-vessel example if the fleet has materially different equipment. A structured fleet list also helps identify where standardisation or common spares may reduce future turnaround time.

    Response Quality Depends on Information Quality

    A fast reply is useful only when it answers the real requirement. Supplying the core technical details in the first message gives the commercial and service teams a better chance of returning a relevant response rather than a generic acknowledgement followed by repeated clarification.

    What to Send for a Faster Technical and Commercial Reply

    Instead of writing only “please quote best price”, send enough information for the team to understand the job. A strong first enquiry reduces clarification emails and gives procurement a quotation that is easier to compare.
